The Email Settings feature in Beatviiew allows companies to manage how they communicate with candidates through email. This section outlines how to configure email settings, choose between different sending options, and customize email templates for various stages of the recruitment process.

Configuring Email Settings

Choosing Email Sending Options
  1. Beatview Emails:

    • Opt to send emails directly from Beatview’s email system, ensuring seamless integration and reliability.

  2. Custom SMTP Settings:

    • Configure your own SMTP email settings to send emails from your company’s domain, maintaining brand consistency.

    • Navigate to the 'Email Settings' section and enter your SMTP server details, including server address, port, username, and password.

    • Test the connection to ensure successful integration.

Setting Up Email Templates

Customize email templates for different candidate interactions to ensure clear and consistent communication.

  1. Invitations:

    • Create a template for inviting candidates to interviews.

    • Include details such as interview date, time, format, and any necessary instructions or links.

  2. Accepted Emails:

    • Design a template to congratulate candidates who have successfully passed the interview stages.

    • Provide information on next steps or onboarding processes.

  3. Rejected Emails:

    • Develop a courteous template for informing candidates who will not be moving forward in the hiring process.

    • Consider including feedback or encouragement for future applications.

How to Set Email Templates
  • Navigate to the 'Email Templates' section within 'Email Settings'.

  • Select the type of email you wish to customize (e.g., Invitations, Accepted, Rejected).

  • Edit the content using the template editor, which supports text formatting and placeholders for dynamic content insertion.

  • You can use these fields in your emails : [FirstName], [LastName], [JobRole], [CompanyName], [InterviewSessionLink]

  • Note : [InterviewSessionLink] is only used in Email template for interview invitation.

  • Save template to apply changes.
